Receptionist
Responsibilities
- Answers and directs incoming calls in a prompt, professional, and courteous manner, paging employees when required.
- Responsible for managing office voicemail and distributing messages.
- Greets all visitors, answers questions, and directs to meeting rooms, or connects them with staff members.
- Manages, monitors, and responsible for general maintenance of reception area.
- Opens, date stamps, sorts, and distributes incoming mail.
- Prepares outbound packages as per senders' requests and receives/distributes incoming couriers.
- Orders office supplies for district or assigned area.
- Willing and able to work in and adapt to change.
- Knowledgable in department/project-specific software.
Qualifications
- High school diploma.
- Associates or bachelor’s degree, diploma or certificate in office administration program considered an asset.
- 1 year of experience in an administrative role or equivalent technical experience.
- Excellent verbal, written and interpersonal communication skills.
- Ability to multitask and adapt to change.
- Ability to act with discretion when handling confidential information.
- Ability to effectively handle difficult situations and remain calm under pressure.
- Ability to develop and maintain effective stakeholder relationships.
- Ability to create, edit, proofread, and format documents/presentations.
- Basic skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote.
