Responsibilities
- Develops and maintains a detailed, well-organized accurate filing and record-keeping system that enables team members to quickly locate information.
- Demonstrates patient, professional, clear, and courteous communication skills, both written and verbal.
- Creates and maintains templates for forms, business travel letters, tracking spreadsheets, etc.
- Assists with organizing meetings and participates in social planning committees as needed to represent the department.
- Supports the team by preparing cost-of-living reports, formal rental searches, and prepare destination city information across Canada and the United States.
- Supports move coordinators by initiating new relocation files with PCL’s relocation partners.
- Assists in ensuring departmental compliance with timelines, reporting requirements, and related processes.
- Willing and able to prioritize tasks while working in a fast paced, task oriented, sometimes stressful busy environment.
- Detail oriented and able to provide concise messaging.
- Provides accurate Word, Excel and PowerPoint support by composing and/or
- editing a variety of documents.
- Builds and maintains strong, customer-focused relationships with key stakeholders and decision makers by demonstrating empathy and understanding.
- Values, models, and coaches the solution provider and profitability culture.
- Other duties as required.
Qualifications
- High school diploma.
- Post-secondary degree or diploma or certificate in office administration program
- considered an asset.
- 3 years of progressive experience as an administrative assistant.
- Excellent verbal and written communication skills.
- Professional and service- oriented approach internally and externally.
- Self-management skills to plan, organize, and prioritize tasks with conflicting
- deadlines.
- Ability to act with discretion when handling confidential and privileged
- information.
- Ability to effectively handle difficult calls and situations.
- Ability to remain calm under pressure.
- Ability to anticipate and adapt to various work styles..
- Ability to develop and maintain effective stakeholder relationships.
- Ability to create, edit, proofread, and format documents/presentations.
- Intermediate skills of Word, Outlook, PowerPoint, Excel, Adobe, and OneNote.
