Responsibilities

  • Support estimating and proposal teams with coordinating bid opportunities, client requests, and prequalification submissions.
  • Create bid numbers and set up electronic folders to organize bid and project documents.
  • Download, review, and distribute bid documents, drawings, specifications, and updates to the appropriate team members.
  • Maintain accurate bid and project information in internal tracking systems and logs.
  • Coordinate the preparation and submission of bid packages, including revisions and required approvals.
  • Compile, format, and review estimate and submission documents to ensure they are complete and consistent.
  • Track key deadlines, milestones, and required deliverables across multiple teams.
  • Coordinate inputs from operations, procurement, HSE, finance, and quality teams to support bid submissions.
  • Assist with coordinating proposal kick-offs, review meetings, and follow-up actions.
  • Support project setup activities when work is awarded, including creating folders and entering information into internal systems.
  • Route agreements, contracts, purchase orders, and other documents for review and approval.
  • Maintain organized electronic filing systems and shared team sites.
  • Assist with preparing reports, summaries, and other departmental documentation as required.
  • Provide general administrative support including correspondence, meeting coordination, and document preparation.
  • Support ongoing improvements to estimating and proposal tools, templates, and processes.

Qualifications

  • 1-3 years of administrative and proposal experience; experience in the industrial construction sector is considered an asset.
  • Post-secondary degree, diploma, or certificate in office administration, business, construction management, or a related field.
  • Excellent interpersonal, written, and verbal communication skills.
  • Professional and service-oriented approach internally and externally.
  • Strong computer skills in MS Word, Excel, PowerPoint, and Outlook.
  • Experience working with document control systems, CRM platforms (e.g., Salesforce), or estimating/proposal software is considered an asset.
  • Self-management skills to plan, organize, and prioritize tasks with competing deadlines.
  • Ability to work in a fast-paced environment and meet deadlines under pressure.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage high volumes of information and maintain organized electronic filing systems.
  • Collaborative mindset with the ability to support cross-functional teams.
