Here's how an Executive Assistant for our Toronto District office (located in Oakville, ON) contributes to our team:

Responsibilities

  • Provide confidential administrative support for Senior Executives and their teams, ensuring high quality service and professionalism in all interactions

  • Manage, coordinate, and maintain complex calendars with conflicting priorities

  • Meeting management including scheduling meetings, preparing agendas and writing meeting minutes to document action items

  • Preparation and coordination of meetings and events including offsites and other department-wide meetings, including but not limited to booking meeting rooms/event venues, catering, technology, communication, materials and RSVP’s

  • Prioritize conflicting needs, troubleshoot, handle matters expeditiously, proactively and follow-through on projects while being flexible in adjusting to changing work priorities

  • Prepare reports, presentations, communications, and documents relating to matters of sensitive nature on behalf of the team by identifying required information, conducting research and utilizing appropriate sources as required

  • Build strong relationships across the organization, including partnering with internal and external stakeholders

  • Participate fully as a member of the team and contribute to a positive and inclusive work environment including mentoring and coaching junior administrative employees

  • Coordinate extensive and at times complex domestic and international travel arrangements

  • General office duties including ordering catering, mail distribution, greeting guests, etc. 

Qualifications

  • High school diploma required. Postsecondary degree or diploma or certificate in office administration program considered an asset.
  • 6 years of progressive experience as an administrative assistant, including a minimum of 3 years’ experience supporting senior-level managers and/or district executives. 
  • Excellent verbal and written communication skills; able to communicate to an executive audience with superior professionalism. 
  • Self-management skills to plan, organize, and prioritize and delegate tasks with conflicting deadlines in a fast-paced environment.
  • Ability to act with discretion when handling confidential and privileged information. 
  • Ability to establish and maintain effective relationships with key stakeholders and decision makers. 
  • General construction knowledge is considered an asset. Understands terminology and processes when drafting correspondence.
